SENIOR SAFETY ADMINISTRATOR

Under the direct supervision of the Director of Safety, this position provides administrative and clerical duties for Regional Safety Managers, Regional Safety Coordinators as well as the Director. In addition to typing, filing, and scheduling, performs such duties as record keeping, coordination of meetings, managing third party safety verification services, obtaining supplies, and working on special projects as requested.

YOUR ROLE AT SHOOK CONSTRUCTION

Under the direct supervision of the Director of Safety, this position provides administrative and clerical duties for Regional Safety Managers, Regional Safety Coordinators as well as the Director. In addition to typing, filing, and scheduling, performs such duties as record keeping, coordination of meetings, managing third party safety verification services, obtaining supplies, and working on special projects as requested. 

  • Answer phones
  • Screen Emails
  • Assist Director and Managers with administrative duties as needed
  • Maintain accurate and complete records of hours, and incidents in accordance with corporate, state, and Federal procedures
  • Assist in managing Predictive Solutions Safety Software
  • Process department invoices
  • Route department receipts and invoices to Accounting in a timely fashion
  • Manage third party safety prequalification vendors and services (Avetta, CCS, Comply Works ISNetworld, etc.)
  • Manage state manpower hour and incident reporting
  • Prepare for onsite meetings as needed, including equipment and supply needs, maintain minutes, etc.
  • Coordinate travel arrangements upon request
  • Set-up hardcopy job safety and SDS files
  • Secure and maintain up-to-date compliance on Subcontractors and Suppliers
  • Assist in project reviews as needed
  • Prepare packages for delivery
  • Purchase and/or maintain office safety supplies as requested; complete inventory as needed

  • Provide first tier application support services focused on ERP applications specific to safety department processes and procedures.
  • Develop end user documentation that accurately reflects the expected use of ERP applications.
  • Manage all aspects of the ERP custom reporting process including observer summaries, department detail reports, etc.
  • Conduct new hire orientation training relating to use of all department ERP applications.               
  • Manage all aspects of the records retention policy pertaining to both paper and electronic records.

  • High School Diploma or GED
  • Three to five years of related experience preferred

Language Skills:

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

  • Microsoft Office including Word, Excel, PowerPoint, and Outlook
  • Construction Management/Safety Software helpful, Viewpoint preferred

Certificates, Licenses and Registrations:

  • Must have valid driver’s license
  • Notary Public certificate (optional)

Physical Demands:

Occasionally must stand, walk, sit, reach with hands and arms, and climb and balance.  Must be able to talk, hear, taste and smell and use hands to finger, handle and feel.  Seldom may have to stoop, crouch or crawl.  May need to occasionally lift up to 10 lbs. The following are the vision requirements for the job: physical, close, distance, color, peripheral, depth perception and ability to adjust focus.
