Responsible for all activities required to process invoices and payments in an accurate and timely manner. Maintain accurate and complete records of all Accounts Payable transactions. Assist with other functions within the Accounting Department as required.


Responsible for all activities required to process invoices and payments in an accurate and timely manner.  Maintain accurate and complete records of all Accounts Payable transactions.  Assist with other functions within the Accounting Department as required.

  • Process invoices and route for approval in Paperless Environment.
  • Import approved invoices and write checks in Viewpoint.
  • Maintain accurate accounts payable files.
  • Set up, monitor and process timely all recurring accounts payable payments.
  • Process prepared JV & intercompany invoices through accounts payable.
  • Process daily special check requests, monthly fringe and tax payments.
  • Maintain, balance and pay timely corporate accounts (credit cards, UPS, etc.).
  • Respond to phone calls from vendors and Shook employees to resolve accounts payable questions and problems.
  • Balance vendor statements monthly
  • Assist other Staff Accountant(s) to maintain accuracy of processing, consistent workflow and timely problem resolution
  • Assist in training other accounts payable employees
  • Complete all credit applications and audit verifications
  • Maintain tax exemption certificate files
  • Maintain vendor lien waivers
  • Assist Shook employees and vendors with accounts payable related subcontract issues
  • Reconcile accounts payable general ledgers monthly.
  • Review aged Paperless and Viewpoint invoices monthly and ensure timely resolution of all issues (zero accounts, credit balances, etc.)
  • Review all reconciled statements
  • Monitor and report monthly accounts payable metrics to management
  • Accounts Receivables
  • Assist with year-end audit requirements

Education or Equivalent Experience:

  • Associates degree or minimum of 2-5 years of accounts payable/accounting experience
  • Knowledge of Generally Accepted Accounting Principles
  • Construction experience is a plus

Language Skills:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer Skills:

Proficiency with relevant computer applications:  Integrated accounting software, paperless work flow, Microsoft Office

Certificates, Licenses and Registrations:

Must have valid driver’s license

Physical Demands:

Occasionally must stand, walk, sit, reach with hands and arms, and climb and balance.  Must be able to talk, hear, taste and smell and use hands to finger, handle and feel.  Seldom may have to stoop, crouch or crawl.  May need to occasionally lift up to 10 lbs. The following are the vision requirements for the job: physical, close, distance, color, peripheral, depth perception and ability to adjust focus.
